As an Administration Manager within the client services team, you will take ownership of a portfolio of client administration activities, with a particular focus on supporting real estate transactions, and will manage and support a dedicated client service team (at scale), combining technical expertise with day-to-day people management to ensure high-quality service delivery.

Role and responsibilities (include but are not limited to):
Client Relationship Management
• Serve as a point of contact for clients, building and maintaining strong relationships based on trust, transparency and professionalism
• Understand client needs, objectives and expectations, providing tailored solutions and relevant strategic advice to support their fund and real estate services requirements
• Proactively identify opportunities to enhance client satisfaction, expand service offerings, and grow client portfolios through cross-selling and upselling initiatives
Service Delivery Excellence
• Support all aspects of client services operations, including fund administration, regulatory reporting and corporate governance services, ensuring the timely and accurate delivery of services in accordance with client agreements and regulatory requirements
• Manage the setup and oversight of administrative tasks, along with the AML/KYC process
• Collaborate with internal stakeholders, including operations, compliance and technology teams, to address client needs and resolve service issues promptly and effectively
Real Estate Transaction Support
• Support the corporate administration aspects of real estate transactions, including SPV incorporation, and the acquisition, disposal and refinancing of property assets
• Coordinate with legal counsel, lenders, agents and other transaction stakeholders to ensure the timely and accurate completion of transaction administration
• Prepare and review completion documentation, board resolutions and corporate filings required for real estate transactions
• Maintain accurate records of the corporate and ownership structure for real estate holding entities throughout the transaction lifecycle
Team Management
• Manage and mentor a team of client services professionals, fostering a culture of accountability, collaboration and continuous improvement
• Support the team in all aspects of client services operations, providing guidance, training and performance feedback to team members, empowering them to excel in their roles and deliver exceptional service to clients
• Promote professional development and career growth opportunities for team members, recognising and rewarding their contributions to the organisation's success
Regulatory Compliance
• Stay informed about changes in Jersey regulatory requirements impacting fund administration and corporate services. Ensure the team's compliance with all applicable regulations, particularly those related to client operations
Risk Management
• Identify and assess risks associated with client operations and escalate any risks identified
• Recommend and implement solutions and strategies to mitigate risks and establish effective internal controls
• Maintain oversight of outstanding tasks and periodic risk ratings/reviews for client entities
Client Onboarding
• Manage the client onboarding process, ensuring compliance with regulatory requirements and internal policies and procedures
• Conduct thorough due diligence on new clients and counterparties, assessing their suitability and risk profile, and implementing appropriate risk mitigation measures
• Coordinate with legal, compliance and operations teams to facilitate the timely and efficient onboarding of new clients while maintaining adherence to regulatory standards
Client Communication and Reporting
• Establish clear communication channels with clients, providing regular updates on service delivery, regulatory changes and industry trends
• Prepare and distribute client reports, statements and other communications in a timely and accurate manner, addressing client inquiries and requests promptly
Reporting and Analysis
• Monitor and analyse key performance indicators (KPIs) related to operational activities
• Provide regular reports on team performance and strategic initiatives
Technology Integration
• Collaborate with the technology team to integrate and optimise systems supporting client accounting and operational processes. Leverage technology to enhance service delivery and client satisfaction
Teamwork & Professional Standards
• Work closely with Palmer's senior management, as well as cross-functional teams, to ensure smooth operations
• Uphold a collaborative, professional and client-focused team culture
• Support knowledge sharing, mentoring of junior team members, and continuous improvement initiatives
Qualifications/Experience:
• Hold a recognised professional qualification (being a relevant degree or equivalent qualification, JFSC table 4 or table 5 qualification i.e. CGIUK/ACCA)
• 5–7 years of experience in Fund Administration, Asset Servicing or similar in Jersey
• Experience providing corporate administration support on real estate transactions (acquisitions, disposals and financings) is required
• Experience with administrative, company secretarial, transfer agency, cash management and corporate governance tasks
• Good understanding of Jersey company law and the JFSC regulatory framework

Languages:
